The New Van der Spek Touch Me Range Has Arrived!

Petra Van der Spek was proud to announce today that the new Touch Me range of organisers are now available on the VdS Shop website.


To the keen eyes amongst you there are some improvements to the design:

  • Better leather has been used across the whole range
  • On the Junior size (FF Pocket) they now have 20 mm rings fitted 
  • On the Senior (A6), Standard (Personal) and Manager (A5) they now all come with two pen loops as standard. 
  • Ring sizes on these sizes haven't changed: Senior (A6) 20mm or 25mm, Standard (Personal) 25mm or 30mm and Manager (A5) 35mm. All using Krause rings of course. 
Here are the leathers the Touch Me range are available in.

The Touch Me organisers are great value for money with a wonderful interior layout which includes a full width back pocket, plenty of pockets and secretarial pocket too and a zipped pocket as well.

Philofaxy Meet Up - London - November 2016

This last weekend I was in London for another Philofaxy meet up. It is a year since the last one in UK.

It was great to see some new people and a few of the old fans who have been before. We met at the usual restaurant close to Oxford Circus which is our long term favourite as it is easy to get to and there are some reasonable shops near by too.

We stayed in the restaurant for much longer than normal, but it was great because everyone got a chance to talk to everyone else and that is the main reason for these social occasions.

I was travelling light so I only had one organiser with me plus my leather samples case! But there were plenty of other organisers to look at and admire, some unusual less common ones too. Most brands were represented too Filofax, Van der Spek and Gillio and a couple of others.

After the meal we took a walk to Muji, Tiger and Paperchase. I was slightly disappointed that Paperchase didn't have the full range of their own inserts on sale, but not to worry.

Paperchase still had a separate display of some Filofax models and inserts up on the first floor. But of course Christmas decorations and gifts were the main items on sale! Paperchase have a wide range of pre-printed pads for tasks and shopping lists in A5 size that you could punch and use in an organiser easily.

A date for your diary - Sunday 11 December 2016

We are going to run another conference round-table voice/video/text chat using Skype a little later than normal this month due to my travel commitments.

When? - Sunday 11 December at the following times:
  • London 10:00 am, 
  • Paris 11:00 am, 
  • Brisbane 7:00 pm time.
Additionally we will be on line later in the day at the following times:
  • Los Angeles 8:00 am, 
  • Denver 9:00 am
  • Dallas 10:00 am, 
  • New York 11:00am, 
  • London 4:00 pm 
  • Paris 5:00 pm etc.  
The timing of these two sessions have been chosen to hopefully allow as many people to join in compared to previous round-tables.

Do not worry if you aren't available at the start of one of our sessions each one lasts 2-3 hours so pop up when you are available and say hello.

Where? - an on-line chat using Skype. with voice and video (if you wish)

What do I need? - just a micro-phone and some head phones(in ear phones work fine) and a free Skype account. Using headphones or earphone reduces 'echo' on the call. Video is optional, but a few of us will be on video as well.

Who - All of you... connect up with Philofaxy and we will attempt to get as many of us linked in to the audio conference as possible. Come and listen if you don't want to chat.  What do we talk about? Filofax stuff... but anything else as well. It's like long lost friends meeting up for coffee and a catch up.. but don't worry if you have never joined in before... you are an old friend too!

If you have any questions you want to ask then please let us know in the group or before we start.

How -
  1. Connect to Philofaxy by firstly searching for Philofaxy in Skype, I will then add you as a contact.
  2. Then  'Send Contact Request',  I will then add you in to the chat room. 
  3. Then if you request it, I can add you to the audio conference as well. But if you just want to chat via keyboard that's fine. That way it's slightly less hectic for me!  
Come and join in the fun, even if you only pop in to say hello... but don't be afraid to join in the discussion.

As with previous round-tables there will also be a parallel text chat room going at the same time as the voice conference, so you can listen to the voice chat and type if you wish, just mute your microphone in Skype

Reader Under The Spotlight - Thomas

Today I would like to thank Thomas from Denmark for sending in his contribution to Reader Under The Spotlight.

Hello, my name is Thomas Bentzen. I live in Northern Zealand in Denmark (a small country in Scandinavia) with my wife Bitten and our two children, Simone and Oliver. I work as a software engineer in test (or tester for short) at a consulting firm.

1. When did you buy your first organiser and what was it?

Eight years ago, and it was a Filofax Graphic A5. I’ve started using GTD as a method to avoid stress and be more productive, and a paper setup was the only thing, and still is, fast enough to keep up with my worklife. It’s still in use but my wife has it now.

2. Out of the organisers you own which is your current favourite (Style and Size)?

Metropol A5 zip. I love the 30 mm rings and all the cardslots. This is my main workhorse and in spite of it’s size, it’s always with me in my bag.

3. How many Filofax or other brands of organisers do you own?

I currently only have 3: The Metropol A5 zip which houses most of my GTD system as well as a small referencing section, a pocket size Pennybridge zip which I use as a wallet and ubiquitous capture tool (to help me write it down when I think of it, not five minutes later when I have forgot it). It also holds my shopping lists and whatever I need when I’m out and about. The last one is an A5 no-name which only have 13 mm rings, I haven't moved into that one yet, but planning to use it as a satellite for my Metropol as it’s easier to carry around.

4. What do you use your organisers for?

Mainly to stay sane. This is mostly done via my GTD setup (www.davidco.com). To go into detail about that system will be blogpost of it’s own, but the short version is that I plan most of my life in there.

5. How many sections do you have in your organiser and what is each section used for?

I have eight sections:
  • Notes / in - a planner version of an office in-tray. All notes and receipts go in here. I also have a special note leaf for each day where I take notes bullet-journal style and keep track on time used on clients (for invoicing)
  • Calendar - Philofaxy A5 week on two pages 5 lines with journal - perfect fit
  • Action lists - It’s similar to contextual todo lists, but the items are smaller and are better thought through than regular todo lists. This section is subdivided by context.
  • Agendas - Lists of things i need to talk with people about, og lists for reoccurring  meetings. Each person / meeting have their own leaf. I find this section is a huge productivity enhancer.
  • Projects - A project in the GTD world is something that is not done and needs to get done and takes more than one step to complete. These range from organising a meeting to a 5 year software implementation project. This section is subdivided by area of responsibility.
  • Someday / maybe -  Things I might do in the future, but I haven’t committed to yet. You could say a dreamers section. If I get inspired about something but can’t find the time do anything about it now, it goes in here for incubation and later reference.
  • List / reference - A - Z indexed reference materials. Also where I store my checklists and mind maps.
  • Storage - A few empty leafs on various types. I restock a few times a week but still manages to run out regularly.

6. If you could design your own Filofax what would it feature?

Perhaps 70 mm rings :-) - I have my eyes on Van der Spek because I like the idea of a custom designed organiser, but I’m not yet sure what to put in it, so I’ll hold that idea for now.

7. What's your favourite Filofax tip or hack?

Get a laminator and make your section pages yourself. Use funny pictures og beautiful images of whatever you fancy, just to make your organiser even more appealing. I had a resistance of putting actions for things i needed to do on my Mac in my actions lists, but then I made a subdivider for my

At Mac context with a picture of Gandalf using a Mac which I find hilarious, and that was enough to make that resistance go away.

8. Have you ever attended a Philofaxy meet-up? if not do you intend to one day?

Free For All Friday No. 419 - by Anita

Sadly I'm not able to attend the London meet up this weekend due to some other commitments. I'm not quite sure how many I've attended over the years, but I've enjoyed every single one.

I admit I felt a little apprehensive as I approached the meet up place at my very first one (maybe 2010?), but everyone was so friendly and I felt right at home straight away. If you've never attended one, I'd thoroughly recommend them as a way to meet some lovely fellow enthusiasts, a great way to pick up some different ideas and see some new binders.

Have you been to a Philofaxy meet up? If there isn't one in your area, you could always consider organising one.

Reader Question - Tackling Planner Size Change

Kelly wrote to us asking for us to discuss the following:
I was wondering if there might be an opportunity to do an episode about switching between planner sizes and doing so in a productive way. I know I'm guilty of switching between different sizes when my circumstances change.  
It would be great to share ideas and resources for making the transition. I have been thinking of ways that I might do it and thought the process has probably already been successfully by someone else and I am reinventing the wheel. 
So if there are resources and ideas that make it easier for myself and everyone else, I'd love to hear an episode about that. 
At the stage where I am at now, I am wondering if I should do something like have all my important information typed out in one central location like Microsoft Word where I can edit it from there and then copy and paste to the relevant planner size and print it out so I'm not having to hand write all the information every time I change planner size.

Goals and Achievements Record

We have mentioned Goals and Achievements many times in the Podcast, but the main idea for this insert came from Rose during our recent monthly Philofaxy Skype chat.

So I've created a simple insert that will help you record your monthly goals and achievements on a monthly basis with spaces for 3 or 5 years.


I'm sure this will help you in your career reviews and your own personal development.

It is also available as an Personal size insert but with just 3 years per month.


I'm making the files available in Word and PDF format. There's no complicated merging to do if you want to update your own version just edit the Word file to suit your own requirements/tastes. 
The A5 size can be 'Booklet Printed' on A4 paper, or scaled by 70% on to A5 paper. The Personal size can be printed on personal size paper.  For more information on printing please see this previous post.

Four Year Journals

Karine came up with this idea in Episode 35 of The Hitchhikers Guide to the Plannerverse.

It's a simple journal that runs for 4 years and you record the details of what you were doing on the same date each year.

So this insert or pair of inserts has the date and the month, but no actual days (Mon, Tue, etc) labelled on each page.

It's not specific to any year start either, you simply write in the year. So you can start it at any time. February 29th is included because there will be a leap year at least once in a 4 year time span.

So this journal is available as an A4/A5 file


You will find the Word file and the PDF available to download and print.

And I'm also making it available as a Personal on A4 paper type file as well.

To print the files on A4 paper. For the A5 insert, use booklet print, or alternatively print on to A5 paper scaling the file by 70%

But if you want to use these layouts as a starting point for your own personalised creation, then you'll need to download the base Word file and the Excel data source (you'll need both).

Users Favourite Organiser - Kate - Part 2

Continuing on from last week's post from Kate. 

Can you please tell us about your set up in your favourite organiser. 

This is my one and only main organiser, which I use. This is beautiful.

First I want to point out that I believe that the calendar should be clear and functional. Not necessarily beautiful. It is a tool for planning and time management. Therefore, I do not decorate pages and do not use stickers, stamps and washi tape.

The only thing I don’t like at the moment is a different pages size, which I use. By this interior it feels chaotic. But it will be only for the next two months. After purchasing a calendar for 2017 I want to adjust other pages of the same size. So I hope the whole will be more coordinated.

I write everything one color pen - the one that I have at hand (usually black or blue). Since November I use a simple color code system (highlighters):
  • green - matters related to finance / expenditure, the date of purchase of a new public transport ticket, the date of payment for phone, cable, internet, electricity, car insurance,..
  • yellow - work, eg. deadlines for reports, projects, training
  • orange - sport, training, weightloss, fitness
  • pink - private matters, eg. a meeting with friends, events, cinema etc.
  • blue - unusual things that require attention - for example: doctor visits, beautician or hairdresser


The content of the organizer is a mix of pages print, cut to size and punched by me:
  • annual calendar – photocopy of personal size calendar filofax 
  • month on two pages - printed from http://philofaxy.blogspot.com/ 
  • weekly calendar - cut to the size from the calendar attached to the newspaper; November and December are WP2P from WHSmith, which I got with Malden 
  • notes, projects, information, contacts – cut of from old notebooks

This time next week I will be in London on the evening before the meet up. I've lost count of the number of meet ups I've been in London plus all the others in different cities around the northern hemisphere.

My organiser will have been used extensively to help me plan this trip as it always does with any other.
