A date for your diary - Sunday 7 March 2021

Given the success and the number of people that took part in the last  'Virtual Meet Up' we are going to run another one.

When? - Sunday 7 March at the following time:
  • Los Angeles 8:00 am, 
  • Denver 9:00 am
  • Dallas 10:00 am, 
  • New York 11:00am, 
  • London 4:00 pm 
  • Paris 5:00 pm etc.  
Do not worry if you aren't available at the start of one of our sessions each one lasts 1-2 hours so pop up when you are available and say hello.

Where? - an on-line chat using Skype. with voice and video (if you wish)

What do I need? - just a micro-phone and some head phones(in ear phones work fine) and a free Skype account. Using headphones or earphone reduces 'echo' on the call. Video is optional, but a few of us will be on video as well.

Free For All Friday - No. 642 by Anita

Whilst I have much to be grateful for in my life, I admit that I've been feeling a bit fed up and tired over the last couple of days. 

So, I've started to think about what I would like to do and how I can recreate that experience from home instead. For example, I'd love to go on a day trip to London:
  • My favourite place to visit is the Natural History Museum - virtual museum 
  • I may also visit the Tate Modern or another art gallery - Google Arts and Culture
  • I'd love to go to an independent coffee shop to people watch, read a book and scribble in my Filofax - I can make myself a coffee in my reusable coffee cup and go sit in our car. Whilst it's not the same, it's still an easy way to have some time to myself as there are three of us at home all the time
  • When in London, I normally visit Chinatown to have a browse and have some lunch - I'm going to order some dumplings and yummy food from Yau Brothers supermarket.
I am going to sit down with my Kensington and create a list of things like this as a reminder to do something just for me on a regular basis.

The Philofaxy Guide to Diary Inserts


Having the best diary inserts and other pages in your organiser is key to your organiser helping you each and every day. 

It doesn't matter if you have the most expensive organiser on the market, without the right inserts for your needs it will not help you meet your goals and targets every day. 

Given that our measurement of time is split in to years, months, weeks, days, hours and minutes. It is natural that diary inserts are split in the same way. There are of course some variations to take consideration of as well. 

Going for a finer division of time per page (day per page) whilst it gives you more visibility of each day, allowing you to divide the page by smaller increments of time, the problem is of course more pages and the loss of visibility of the rest of the future days without flipping the pages constantly. 

A coarser division of time say a month per view or month per page gives you a better view of past and future days, but lacks the detail unless you increase the page size to allow more space per day in the lines or boxes. 

Somewhere in the middle we have week view or week per page. This is the compromise that most people tend to go for. However, there are plenty of variations to consider.  

Supply - Where are you going to obtain your inserts from? There are regular stores both 'brick and mortar' and on-line stores to be able to get pre-printed and pre-punched inserts from.  

There are numerous sources of inserts that you can download and print yourself including Philofaxy of course! Etsy is another favourite site to be able to purchase downloadable files for a fee. 

If you want to retain the same design/layout/size for many years in to the future, you are reliant on those particular inserts still being made available or being sold in future. If you pick a popular size/layout then it shouldn't be too much of an issue. 

Design your own  - There is a lot of satisfaction in designing your own inserts, as you can adjust the design incrementally to suit your needs. It might take you a few attempts to nail the design to perfection, but you know it will always be available and you can print out parts of a year or future years well ahead of time if you plan meetings 4-5 years from now! Some people do... 

If you don't want to dive in the 'deep-end' and design one from scratch you can take one of the Philofaxy designs and modify it to your own requirements without too much difficulty. It's not a beginners job, but it should be within the scope of most people with a bit of thought and preparation. 

Monday or Sunday start - Both are possible on pre-printed inserts, although you will find most countries tend to use Monday start. There are people that want other days of the week as a start to their week because of their shift work patterns... they really do have to 'design their own' 

Week numbers - Do you use Week numbers... depending where you are in the world there are three standards for week numbering, it falls in with what day is considered the start of the week. We purposely don't include the week numbers on Philofaxy inserts because of the three different standards in the world. You can always write them on if you wish!  

Size, Portability, Annual cost - Test out your chosen size of inserts to death, not just a few days, give it at least two or three weeks before you decide on the size. Test the size with ordinary blank paper of the size with a hand drawn insert or if you can print off a few weeks even better. 

The size you pick will impact on the portability, how easy is that size of organiser able to fit in to your bag, backpack or fit on your desk when open. A4 is a great size until you see how much desk real estate they take up! 

Do you actually need printed inserts? - What!! Think about the simplicity of the Bulletin Journal, a lot of people use that format or a variation on that format. 

We also have 'undated' diary files on Philofaxy you can download and print yourself, you just write in the dates on the sheets, they might work just as well for you, alternatively you can use them for advance planning for far off dates so details are not missed without having to have a full year printed off. 

When to change?  You don't have to change over on 1 January, you also don't need to be able to fit in a full 12 months in to your organiser. Some people only carry a couple of months of inserts at a time. They have a routine of archiving past pages and adding future pages on a weekly or monthly basis. They supplement their inserts with a set of monthly inserts or a year planner to cover the full 12 months of the year so nothing falls through the cracks.

What is a Philofaxy Round-Table?


What is a Philofaxy Round-Table? It is not something like this picture to the right! Although there is nothing wrong with that table, I mean it is a very nice table. 

Enough of the Monty Python and the Holy Grail speech...

We started doing the round tables over 10 years ago. I haven't delved in to the archives to see when the first one happened. [8 August 2010]

Like most of the things we do it was a bit of an experiment to bring together different people in the community and let them share their thoughts and ideas. 

Some of these ideas have worked very well, beyond our expectations, some don't work quite as well, so we park them for a while and re-visit them at a later time. 

With travelling being off the agenda both last year and for the a few more months yet this year. The round-tables have become a 'virtual meet up' using Skype group calls to chat and share thoughts for anything up to about 2-3 hours. 

All you need is a free Skype account, a microphone and a pair of headphones/ear buds (optional but it helps reduce echo). A web-cam is optional, but a lot of us join the calls with our cameras turned on. You can blur the background if you wish so all we see is you. 

We try to give everyone equal chance to talk, hence round table, the topics can be quite varied. There's no fixed agenda or advanced agenda set. But if you have any thoughts on what you would like some opinions or answers on, by all means ask them up front. We will do our best to answer the questions. 

The total number of people on each call can vary, from 2 or 3 to anything up to 15 or more people! 

You can listen in on the call, and just mute your mic if you have others around you in your home. You don't have to stay on the call for the whole time from start to finish, so if you just have a few minutes to spare and may be you want to ask a quick question, feel free to join in on the call. 

There is a post announcing when the next chat will be, posted at least 5 days before it happening. The 'round table chats' are generally the first Sunday of the month, but it can move or not happen depending on availability and when the clocks change etc. The post includes details of how to join the chat and timing etc.

Diary Inserts for 2022 and beyond

Ray Blake of the My Life All in One Place blog and I have collaborated for 10 years this year, in an ongoing project to produce a range of diary layouts that can be downloaded, printed, punched and used.  

Over that time the 'collection' has grown to levels we never expected. 

They are offered for download and use under a Creative Commons Licence. That means you can freely use and adapt them other than commercially. You can share these templates with other people, but you must not charge for them. Diary Inserts 

As the size/number of inserts has grown, the complexity of managing the collection has grown to the point where we needed to take a step back and re-evaluate where we were going. 

Ray took some time last year to look at the levels of individual downloads on his site to see what was popular and what wasn't. 

He then reorganised the way in which files are created in to a much more logical method and file structure. This makes it much easier to create each years pre-prepared merged files, that are ready for you to use in Word or PDF format. At the time of writing files for 2023 and 2024 are waiting in the wings.

Going forward we are restricting ourselves to this following list of files.


But what about the ones you used to do for us that I still use that aren't on the list, I hear you cry.... All of the old source files are still listed and still available for you to download and do the merge yourself. So you will be able to continue to create those files from now til dooms day!

The list of files that we continue to create might expand, but in a more orderly fashion compared to before.  They will follow our new method. 

The new list needs some explanation. Here is that explanation...


The Ref number is just an indicator for each series of inserts, first digit is the insert size, the second digit the time divisor (day per page, week per page etc) and the third digit shows the version of the particular design the name refers to. 

Format indicates the page size proportions, A4/A5 is for all ISO sizes so this includes A6, B5(Deskfax), B6 etc You might need to make some small font size adjustments for the smaller sizes. 

Name (Preview) we have kept the same names as in previous years as closely as possible. Click on the name and you should be taken to a preview of the file. The previews are for 2020 or later, these will not be updated each year, they will stay the same unless the design changes. 

Word PDF these are the links to the pre-merged files for the year at the head of the columns, download these to just print off the file of your choice. 

Word Excel  these are the links to the Word and Excel Source files for you to download to do your own adjustments to our initial files. Like before you need both files. The Excel files are now different in their make up. You will find a 'Year' worksheet this is where you unsurprisingly set the year for the file you wish to create. Save the Excel file once you have set the year. There aren't different source files for different years, if you open the Excel file and you find it set to a different year than the one you want to create, just change it in Year worksheet and save the file. 

Merge Sheet this indicates which of the Excel worksheets you should merge into your word file after you have done your edits. The Excel files are now set up to do several insert designs so there are sometimes more than just a single worksheet in each file. 

Merging the files is much the same as before, I will do a new video to show how the files work if people think one would be useful.

Gillio Compagna - Day and Night Edition

Gillio have today announced another limited edition organiser. This time it is based on the Gillio Compagna Pocket size organiser. It will be known as the Day and Night Edition. 

All of the organisers are in two colours a Royal Blue exterior with a Yale Blue interior, with the edging also in Yale Blue.


Like the previous 'Belgium Edition' each item comes in a special edition presentation box and dust bag.



The 'Night and Day Edition' is based on the Pocket XL Compagna so it has 20 mm rings fitted to it and the full width back pocket.


The organiser comes with two special edition fly leafs, one in Royal Blue the other in Yale Blue.



This scan shows the detail of the embossed fly leaf.


The inside front cover has three card slots and a deeper business card pocket with a secretarial flap pocket behind that.


The rear inside cover has a secretarial flap pocket along with a zip pocket and a single elasticated pen loop.


The 'Night and Day Edition' features all gold hardware including gold plated Krause 20mm rings.


Each one is stamped with a number to show it is part of the limited edition.
