Philofaxy Video Web Finds, Your Help Is Required

You might not have noticed the change to the weekly posts, but since Google/YouTube changed the format of their site, it has become harder to assemble these posts. 

They have removed the ability to sort the results in upload order. I can still restrict the results to the last week or month. But what comes out is a bit of a jumbled mess, and often includes posts that have no relevance to Filofax or similar. 

Fortunately I have other ways of finding posts,  but I need to know the channel name to be able to use that method. 

I'm not giving up, it's just not as reliable as it once was and it's taking me much longer to put those posts together each week. 

Can you help? Yes you can, comment below with the details of any YouTube planning channel that you think deserves more exposure. Or send me an email: philofaxy at gmail dot com

The channel doesn't have to have thousands of subscribers already. The change to Google/YouTube seems to be filtering out the lesser channels compared to before. 

Likewise any blogs that we might have missed, although the number of people blogging these days seems to be decreasing still!

In twenty years of Philofaxy being on the internet, we have some quite impressive statistics. 

• 6833 posts published, an average of 341 per year!

Philofaxy at 20 years young

At the end of October this year it will be the 20th anniversary of the start of Philofaxy. 

The blog was started by 'Philofaxer' on his own just to chart his own discovery of Filofax organisers and how he was using one back then. 

Whenever I read the title of that first post 'In the beginning' I always hear the voice of actor Richard Burton and his introduction to 'War of the Worlds' !

A year or so later Nan came along to 'help out' and she kept things ticking over for a few more years on her own. Then along came Laurie and Steve to boost the team. And then Anita and Eve have joined the merry crew! 

I don't think any of us thought we would still be writing about organisers 20 years later. 

It has of course grown well beyond just a blog... with Meet Ups, Facebook Groups, Diary Inserts, Template Files, Filofax Catalogue Archive, On-line Video Chats, You Tube, Podcasts etc etc. Quite a community to get into. 

How would you like us to celebrate the 20th Anniversary of Philofaxy?  It occurs on the 31st October 2025. 

Today's Post

Today's post has been delayed to tie in with a product release announcement. All will be revealed after 2pm CEST.... 

Returning home after the meet-up.

As a postscript to the meet up, on last Tuesday we returned home to France. 

This visit had also been for a family event, our eldest grand sons birthday. Therefore it was a short visit. 

The flight from Stansted to Poitiers takes about 80-90 minutes so we can get from England to our home in no time at all. 

Yesterday when we arrived at Stansted we noticed that the security checks had been changed in the last few weeks. It seems they had installed new scanning machines for people and luggage. 

As usual you had to put your hand baggage in to a tray, empty your pockets, remove belts etc, but with the new machines you don't have to remove your laptops from your bag. 

My bag went through but was pulled in to the detailed search line. The security guy was looking at the scan results and then asked me 

'Can you please tell me what is in your bag sir' 

I then went on to list the contents 

'Macbook, iPad, Kindle, Headphones, Filofax.......' 

I then saw the look of surprise on his face when I mentioned a Filofax. Clearly it was showing up a little strange on his monitor of the scanner. 

The tray with my bag was now in front of him and then he asked. 

'Can you please show me your Filofax, I remember them very well.' 

He also called over one of his colleagues who hadn't heard of a Filofax before. 

I pulled out my A5 Lockwood Zip, and unzipped it to show him the interior and the rings which had showed up on the scan....

We then chatted a bit about why I still used a Filofax and I pulled out a Philofaxy card and gave it to him. He was quite surprised and thanked me. 

I don't miss an opportunity to share the Philofaxy name!!

Calls for help

I have recently received emails from people asking for help with their organisers, or diary inserts etc. 

I'm happy to respond to these emails, but the main issue seems to be that email providers such as Outlook, Hotmail etc seem to reject emails with attachments or links in them. 

Can I therefore ask people to include a link to their Facebook Profile or to WhatsApp so I have an alternative means of contacting you. 

I don't want you to feel that I've ignored your questions.

Philofaxy Search

Finding the answers to your favourite Filofax questions by looking through hundreds of posts on Philofaxy is not easy.... with 6500+ posts in over 19 years it is hardly surprising really. 

Even I struggle sometimes and I wrote a high proportion of the posts. I can remember writing about something, but I can't remember the year or month. 

However, there are some tools on the site that will help you to find posts. 

If you open the site on your mobile phone browser you are most probably presented with just the recent posts:

'Move to' on this view will take you to one of the many sub pages, such as Diary Inserts, Adspot etc.

However,  if you scroll to the bottom of the page and turn your phone sideways (landscape) you will see 'View web version' tap that. 

Turning it sideways will make the text easier to read, but you will now see the right hand side bar on the site, just as you do on a desktop/laptop. 

At the top of the sidebar is a search box, put in a keyword and that should find all the posts with that word in it. 

A bit further down the side bar is the 'Labels' or Tag Field. It is rather long now, but we do try to tag every post. The bigger the text the more posts that have that 'label' for example FFAT and FFAF are some of the biggest number of posts. 

If the search or label search doesn't find what you are looking for there's always 'Steve' just email 'Steve' steve at philofaxy dot com and he will hopefully send you some links to posts that has the information in it that you are looking for. 

No doubt there will be some clever bit of AI somewhere that will be able to assist with finding the answers to your questions with Philofaxy as the focus of the search....  I've done some tests with Co-Pilot AI, but I'm sure there are some better ones. I will report back.. 

Digging back in to the archive: How many do you own?

During a recent discussion, the topic of 'Filofax organisers, how many do you own' came up. 

Back when I first started here on Philofaxy I think I only had two or three, now the figure is considerably more than that. But if I work on the basis that I bought the first one in 1986, the average is considerably lower than if I base the start date on 2009!!!

There is a link to a spreadsheet that you can download to help you calculate how many 'Philofaxy Organisers' you own. 

A Philofaxy is a new unit of counting based on the page size. An A4 is equal to 1, and A5 is 0.5 etc. I've not checked recently but I think I have about 23 Philofaxy Units of organisers in my cupboards.... 

I have added ring size in to the equation to give more detail as well as page size... that should bring the final figure down a little bit more.... less embarrassing that way! 

And for information, the photo above was taken/created in 2014, I don't own some of the organisers shown in the image any more, plus others have joined 'the collection' since then. 

As you can imagine it takes quite a bit of logistics to take a photograph of the whole collection given that this is five images stitched together!! I need to repeat the exercise one day.

Digging back in to the archives

Finding older posts on Philofaxy isn't easy. With nearly 6500 published posts in 19 years it isn't easy to remember when a specific post was published, even for me! 

Using the Labels Cloud can help you narrow things down, or the Search This Blog. These are accessed using the full web version of the site not the mobile version. 

If you are using a mobile and scroll to the bottom of the page and tap on 'View web version' Turning your phone to landscape will help you read the full width site.

Contributions are always welcome

Over the last 15 years or so we have had a lot of reader contributions.

They don't have to be long essay type posts, although of course they are more than welcome. There are plenty of other much shorter posts you can contribute that are interesting to all our readers.

We have a few 'standard' ones such as:

We also welcome simple contributions such as a picture for 'Silent Sunday' 

The only thing we ask is that all guest posts are connected to planning in a ring bound organiser. We get lots of offers for totally unrelated topics already! 

However within that remit there is plenty of scope for long and short posts, from simple hints and tips to full on reviews.

The Golden Rules of How to Use the Philofaxy Diary Inserts

There are some simple basic rules to using the Philofaxy diary inserts. Follow the rules and you should be able to produce your own inserts successfully.

If in doubt or if you are still having issues then contact Steve by email steve at philofaxy dot com.

1. Make sure you have downloaded the correct files. We offer 'pre-merged' versions in Word and PDF versions.

The Word ones tend to be less trouble to print than the PDF files. The 'Pre-Merged' versions are the ones that are ready to print, fresh out of the box, you can modify them, but you will have a lot of work to do!.

Also read the notes on printing below, which apply to pre-merged and modified files.

2. If you want to modify one of our inserts, may be to add some colour, or to change the fonts (within reason) then you need to download the source files, this is a Word File and an Excel file. The Word file will only be 1, 2, or 4 pages in length. (hint!) The Excel file contains all the date information.

There aren't different Excel files for different years, you just change the date in Cell A2 and save the file and then you will have a file to create a new 12 months worth of inserts. In the post 2020 Revamped series you just change the Year in the Year sheet. 

So you can do any 12 month span from this file. We are traditional in doing Jan-December, but if you wanted to do an Academic Year then just set the start date in the Excel file (Cell A2) to your term start date.

3. After doing your mail merge on a source file there are a couple of things you need to do on the new file it creates.

1. Firstly you need to remove the section breaks from the whole file. To do this the easy/quick way. Do a Find and Replace, in Edit, select Find, Replace. Set Find to ^B (Section Break) and leave the replace blank. It should report finding the number of section breaks depending on the type of insert. 52 in the case of a Week per View insert. 
2. In the case of a 'Per View' e.g. Week per View (Week on two pages) Month per view, type insert, you need to insert a blank page at the start of the file. So put your cursor at the start of the file and 'Insert' 'Page Break'  

You need to remove the section breaks so that the page margins are correct as they are 'mirrored' margins so the pages will appear to go 'left, right, left' as you scroll down through the file. This is to allow for the binding/ring margin. 

The extra blank page is required to make sure that the pages when printed are 'in sync', without that page the first page of your  Week per View would be on one side of the paper, and the second page on the reverse side of the same sheet, not very easy to use. 

4. If your modifications didn't work out, just go back to your source file make some modifications and try again. Limit printing to say the first 4 or 8 pages, so you don't waste paper. 

5. When printing your files always print in 'Normal' order ie page 1 first, not in Reverse or Collated order. The actual terminology will vary depending on the make/model of your printer and the way in which the sheets are printed, so it is not possible to give any concrete information on what to look for. 

Do a test print and note which page gets printed first, if it is page 1, then page 2 etc you are in business. Printing in the reverse order will often end up with your pages out of sync (not facing each other correctly) 

6. You must not use our files in their downloaded state or modified state for commercial reasons, so please do not sell them. Share them for free of course, but please do not try to profit from our hard work. 

Those are the main rules, but there are several other things that pop up frequently that I will address here. In no particular order. 

Q1. Why don't the files include Week Numbers? 

A1. There are three standards for Week Numbering used in the World. USA uses one standard that isn't the ISO standard for Week Numbering that the majority of the world uses. Given that Microsoft is in the USA, therefore you have to 'break' Excel with macros to get it to produce Week Numbers to the ISO standard!! 

Also we wanted to make our files available to as wide an audience as possible without there being any issues of differences in location. 

Q2. Why do you use Monday to start the week and not Sunday? 

A2. Again this varies depending on your location. The ISO standard for Weeks sets Monday as the start of the week, and the USA, Canada and Japan don't follow the ISO standard. 

That said you are welcome to modify our files to do Sunday start if you really can't live with Monday start. Some examples have been shared previously. See here and for monthly here.

Q3. 'I can't get A4 paper where I live, where can I get it from?'

A3. Take a look on Amazon USA it is available outside of Europe and the rest of the world that uses ISO page sizes. 

Q4. 'All of your files are A4 not A5?'

A4. Yes that is correct they have to be if you are going to use the booklet printing facility on some printers. 

If you are going to print straight on to A5 paper, then scale to fit A5 or by a percentage of 71%

Q5. 'My pages aren't printing correctly, can you please check the file'

A5. Make sure you are printing the file from page 1 not the last page. It is possible we have forgotten to add a blank page to the front of the file, we are human after all! 

Q6. 'The margins are coming out all wrong when I print your files'

A6.  Make sure you are printing on the correct size of paper for the file A4, A5 or Letter size paper. A4 is not the same as Letter Size paper. 

If you have created your own file from our source files, make sure you have removed the section breaks as mentioned in Golden Rule 3 above. 

Q7. "Will you do me an insert with x days and y days missing, etc etc?"

A7. We get a few odd requests. Weeks without weekends (Work Week), Weeks that start on a Thursday and bigger space for certain days and not others. You name it, we have been asked it over the last few years. 

If I'm not busy then I will often create a set of files for you from one of our existing files if it isn't too much of a time suck. But I will often point people in the direction of trying to do the edit themselves so they have full control over the final product. As long as they realise they can't sell it. (see 6 above). 

Of course if you get stuck I am happy to help. 

Q8. 'Can you help me with x on y insert?'

A8. Yes of course I've even done things remote on peoples PC's whilst talking to them on Skype, because obviously I can't see what has come out of the printer! But again subject to time allowing we can try to solve any issue. 

I hope this post helps you use our inserts. Learning how to use our files and making your own version and getting them printed can be a steep learning curve, but one worth doing if you want to have an insert that is perfect for you that isn't going to go out of stock, or be discontinued.

Philofaxy Industries PLC!

Imagine for a moment that Philofaxy was a company and we decided to make our own brand of organisers. Yes this is imaginary and you will see why this is never going to become reality!!

Why are we even discussing this then? I was asked recently had we ever considered having our own brand of organisers? 

My initial response was no, it would cost too much money and it would take up too much time. A simple answer I know. Time is something I don't have a lot of that is spare these days, so setting up a company or a distribution company would take quite a lot of time, dealing with orders etc etc you would require a team of people and they would need to be based somewhere like a warehouse or similar. 

How many would you get made? This is a difficult one to answer, mainly because you would be at the behest of suppliers and their unit quantities of supply. Let's just take the ring mechanisms as a prime example. 

A Philofaxy organiser would have to have Krause rings, nothing less would do? I can see you nodding your heads in agreement around our virtual board room table! 

Krause will only supply rings in units of 1000 ring mechanisms. If we are going to sell organisers in A5, Personal, Pocket, then that would be 3000 sets of rings. They will not let you mix an order of a 1000 rings in different ring spacings or ring diameters. If you only sold A5 organisers but you wanted to offer 20 or 25mm and say 30 mm, that would be a 1000 or each ring diameter 

If that is the case, then how do other sellers seem to sell much less than 1000 units. They buy from a whole seller not direct from Krause, but of course the price will be higher. 

That is just one part of the puzzle. Who is going to make these organisers? Well there is no shortage of leather workshops around the world or in Europe, USA etc. However, unless you are keeping them fully occupied with your orders, they are going to be working for other companies as well as ours. 

Making sure that the quality of the products is maintained will require a lot of careful monitoring, it might require frequent site visits to the workshop to ensure that the workers are cutting corners to save their own company time and money. 

Assuming all these issues can be overcome and there are several I'm sure I've not mentioned.... there is then the sale of these organisers. 

We have a very well established web presence... almost 20 years in fact.. but as soon as we start commercial operations, I'm sure the other similar sounding company that starts with an F instead of PH will be on to us with a cease and desist letter from their lawyers with a very fancy three or four name title!! Especially if we used our 'Philofax' branded website... yes I registered philofax.co.uk a few years ago! See this previous post as to why that exists! At present it loops back to the blog!

Setting up a whole new workshop with equipment and staff to make organisers like say Van der Spek would be a dream or nightmare depending on how you look at it! 

Or the alternative of just getting them made by another company with our name on the items and we would just be sales and distribution like Gillio, also would be quite an expense. 

To do it profitably requires quite a large holding of items, therefore large warehouse and staff to process orders. Also the makers have their profit margin and we would be adding our own profit margin on top of that to cover all the running costs which would add about 40-50% on the price of the basic item. 

No, I don't have a warehouse.... only a large garage! It's already fairly full! 

I think by now you can see why this is never going to happen.... well not with me in charge!

How many organisers?

How many organisers do you have to own before you can say you have 'A collection of organisers' 

I am not referring to how many are in use at any one time, but total ownership. What number becomes the 'tipping point' from 'I have a few organisers' to 'I have a collection of organisers....' 

And whilst you consider your answer carefully, you might find my previous post on a similar topic to this from a few years ago, with an alternative way of counting them! 

Before you ask... I do not know how many are in my cupboard at the moment. That's a job on my list to do the annual check and up date my list!

News Update

Hi Everyone. 

Sorry just a news update today. Since returning from UK at the beginning of the month I’ve been beavering away moving Philofaxy.com and many other sites that share that server to a new server supplied by a different company after the original one decided to shut down their services giving me and other customers only 30 days notice. Some of that notice period I was in UK, so I was a bit stuck about doing anything straight away. 

As far as the blog is concerned it shouldn’t have much impact. The server does have all the adspot photos, files and diary inserts on it. All the podcast episodes are also hosted on the server too. 

You might get some ‘Non-secure site’ warning messages, depending on what browser you are using. I aim to sort these issues out in the coming weeks once I have all the other sites moved off the old server to the new one. (It’s not a 5 minute job!) 

I will be glad to get this job finished and get back in to the normal groove.

Attention Email Subscribers

If you receive the blog posts by email, this has used the Feedburner (Google) service. This has been on Philofaxy since about 2010. The subscription list totals over 1600 people, not all of them verified. 

Feedburner have recently announced that they are ceasing the email service in July this year. I have therefore put a link to a new service in the side bar to replace the Feedburner service. 

The new service is supported by advertising in the emails you will receive, you can if you wish pay a small fee to get the adverts removed. See the website for details. 

Although I have the full list of current subscribers, I will not be submitting those to the new service, this would be against GDPR regulations to do so. 

If you wish to continue to receive blog posts by email after July, then you will need to resubscribe to the new service. 

You can also register the rss feed for Philofaxy [https://philofaxy.blogspot.com/feeds/posts/default] with any other RSS to Email service of your choice there are quite a few around.  

Alternatively there are lots of RSS reader apps available that you can also use the RSS feed in. I personally use Protopage, but there are lots of others around.

How Many?

I've just done an 'audit' of my full collection this past weekend. There is a very important matter to address when assessing the size of your 'collection'.

Now you might think how many is that.... eleven across by six down, sixty six, but there is only 21.251 really.

How did I manage to get to that number? Let me explain in more detail with the aid of this table.

My photo of the full collection above doesn't make it easy to work out the relative size of each organiser, but they divide in to the different sizes as shown in the second column of the table.

Looking in the third column you will see I have used A4 as being '1' and then each size below A4 has an 'Equivalent Value' scaled from the page size with a slight 'fudge' factor to allow for Compact and Slimline having smaller rings... hmmm I need to introduce a similar fudge factor for 'Compact A5' to get my 'Philofaxy Value' even lower!.

I digress.... You then multiple the Number Owned by the Equivalent Value to get the Philofaxy Value and then just add up all of those values in the final column to get the Total Philofaxy Value for your whole collection.

Yes, I know 66 is a silly high number to admit to owning, but I did buy the first one in 1986 over 34 years ago.... that equates to less than two a year... 1.941 actual organisers per year, on average. We will not plot the actual growth of the collection over the years, especially in the last 10-15 years!! I like the figure of less than two a year!

How Web Finds Started

Looking back over the last ten years or so I can't even estimate how many blog posts and videos we have shared in that time.....thousands!

At one point I was 'finding' 50-70 posts a week all Filofax related posts. It got to the point that people asked if I could split in to more bite size chunks, so it became two posts a week to ease the load!

When I joined Nan and Laurie back in 2009 we started off with some posts and the occasional link to other posts I found. There wasn't many videos back then, not until Imy came along and started doing Filofax videos and then is started to explode.

There are still people doing videos of course, but may be not as many on just Filofax, I have had to widen my search terms to bring you the video web finds each week.

During the current crisis a few blogs have re-emerged and people have started posting again after a break, which is encouraging in a way. I rarely remove a blog from my monitoring system unless the blog is removed from its host website.

What sparked the idea of web finds was a post by Gala Darling in June 2010 she had posted about 'A Filofax Love Affair!' Gala Darling was to me well ahead of her time, she blogged and shared her life like no one had done before.

At the end of her post was this set of links:

It created a four times increase in the number of visitors to Philofaxy, but I didn't notice this until a few days later. I was about to move from UK to France, so we were busy packing and visiting people. Looking at the stats I was able to trace back the source of all the traffic to this post.

This got me thinking.... I wonder if we could do the same for other Filofax blogs? And web finds was officially born.  It has become a bit of a 'labour of love' to create those posts over the years, some have been finished off late at night in a hotel room somewhere on my old small notebook computer or similar!

The format has evolved over the years as technology and sites have changed. Central to the system I use is Protopage, which I have used to gather the links to the posts each week both for blogs and videos for both Philofaxy and Travellers Notebook Times.

Searching Philofaxy -  With in excess of 4700 posts on Philofaxy spread over 14 years, finding exactly the information you want could be quite a task... however we do have some tools to help you:

• Search - Pop a key word in to the search box in the sidebar and the search tool will find all of the posts with that keyword in it.
• Labels - Further down the sidebar you will find the label cloud again this will find all the posts with those labels on the posts. We try to label all posts, although some of the earlier ones are unlabelled... another job still to be done!

Subscribing to Philofaxy

• RSS - You can add Philofaxy to your favourite RSS reader such as Google Reader.
• Email - If you want to receive each post by email, pop your email in to the subscribe by email box  and follow the instructions. This service is provided by Feedburner. They will send you a verification email which you have to click a link in to confirm your email address in the usual way.

Other Philofaxy Events

• Meet Ups - We have held several very successful meet ups, they vary in size from as little as two or three people up to twelve people, these have been held in London, New York, France, Holland, with other ones planned for other countries around the world.  Although meeting 'people off the internet' can sometimes seem a little odd, we all have at least one interest in common and everyone I've met at all the different meet ups have been great people to sit and chat with.  

Guest Posts on Philofaxy
We welcome people to do guest posts on Philofaxy, but they must be about ring bound planners of some type or be associated with planners, time management in some way. We do not respond to requests to post links along with guest posts about pensions, raising a family, investment opportunities in the Scilly Isles, etc. etc.... yes we get frequent offers like this in the Philofaxy in-box!  If you would like to do a genuine guest post this post will be a great help to you.
