Buying and Selling Organisers

There are so many more places these days to buy and sell organisers. Each has its own advantages and disadvantages as well as successes and risks. 

In the last 10 years or so I’ve been involved in a few of the sales groups on Facebook as well as looking after our own Adspot page here on Philofaxy. 

Through that experience I have seen a lot of things that have led to issues with sales. To make sure these issues don’t reoccur we have had to revise our guidelines and rules, these are to protect both parties, the seller and the buyer. 

If you are selling on Facebook or any other site make sure you follow the rules of sale on which ever site/group. On Facebook we have tried to make the rules similar on each of the planner sales groups, but there might be some minor differences. 

Always take plenty of photographs of the item, showing all sides of the planner, front back and inside and out. Include a name and date tag somewhere in your photos, this proves you own the item you are selling and when the photos were taken. 

Remove all paperwork from the pockets and move the name/date tag to different parts of the planner so that you might repeat some photos with it in different positions. 

Make sure the photos you submit are the correct way around, you don’t want potential buyers (and the admins) getting neck ache looking at your photos. 

In the description of the article include details such as smell, is your house a smoking house as leather absorbs cigarette smoke very easily and it is impossible to remove. Likewise if any perfume has been sprayed on the item or pets have been near the item. Note it all in your advert. 

Try to include details like you have owned it from new. If you have the original sales invoice include that in the sale, this can be a requirement if there is a warranty from the original supplier. 

Be careful about using phrases like ‘Brand New’ ‘Never used’ especially if your photos show otherwise. 

Point out any known defects in the leather or the rings, any pen marks etc. 

As a seller if you have someone interested in your item check out the buyer as much as possible. Before they have paid you ask them for their name and address. Check out that address, make sure it actually exists, that it isn’t a forwarding service or similar. These can be problematic if the item is damaged in transit between the destination address you were given and the real address of the buyer. 

Remember PayPal tends to side with the buyer not the seller in any disputes and so you can lose not only the item you have posted but also your money. 

Always over pack the item with plenty of padding around the organiser, remove any inserts from the rings, use a strong box not just a paper/plastic wrapping. Yes it might cost a little more, but you should reflect the true cost of postage and packing in your price of the item. 

Take photos of the item as it is packed, and send them to the buyer so they can see how to get in to the package when it arrives! People must curse me when they receive one from me, I was trained by the UK Foreign Office…. don’t you know!!!!

Buyers…. When you receive a parcel inspect the package before you sign for it. If it is damaged or wet do not accept it. Don’t be tempted to open it, doing so counts as accepting it in what ever condition it is in and voids the insurance on the item. 

When paying via PayPal always pay via Goods and Services. Yes the seller will have to pay a small fee, but you gain protection should the item fail to arrive or is damaged on arrival or not as described. You lose all of that protection if you pay by ‘Friends and Family’ It is important that the seller pays the fees, they can’t ask the buyer to pay the fees on top of the item price as it is against the PayPal terms and conditions to do that.  

Timely communications help both the buyer and seller. Don’t advertise something if you are about to go away on holiday and you don’t have the item with you! Delays in replying lead to suspicions that the buyer has been scammed. Keep your communications simple, remember the other party might not speak/read your language. 

The overall success of your sales is dependent on many factors. Get it right and your item will sell quicker than you imagined, you will not be stressed out by the experience and you will get a great item for the money or the money if you are selling to spend on another item.

Free For All Friday - No. 658 by Anita

Due to some recent changes in family commitments, my faithful Kensington is definitely helping to keep me sane currently! As I'm needing to share paperwork with family, I'm uploading documents to Google drive, but my Filofax is my central hub in helping me to keep track of progress on different things. I'm keeping it simple by just making lists and doing regular brain dumps to ensure that nothing gets forgotten. Therefore, I'm feeling quite relaxed currently as I'm just chipping away at my list, which means that I'm not feeling overwhelmed. 

Have you been managing any family changes recently by using your organiser more?

Opening and Closing Your Organiser Rings Correctly.

Are all opening and closing the rings correctly? I'm sure some of us have been watching You Tube videos and seen people pull the rings open with their fingers! 

To ensure that you don't damage the ring mechanism on your Filofax personal organiser, always use the tabs at the ends of the ring mechanism to open the rings. Place your organiser on a firm surface and press evenly on both tabs at the same time.

Do not under any circumstances pull the rings open using the rings themselves; this could result in the internal mechanism becoming damaged.

To close the rings use your fingers on either sides of both sets of rings with a light even pressure and the rings should snap shut. Be careful to not trap your fingers in the closing rings.


The mechanism does not require any routine maintenance or oiling, just an occasional wipe with a soft dry cloth will keep the metal clean and rust free.

Your Filofax for foreign language learning.

I've lived in France for 11 years, it seems longer. However, you would have thought that by now I would be fluent in French, sadly not. 

Over the years languages have always been a struggle for me, English included. "Yes we had noticed Steve, but we didn't want to say anything" !!!  

I don't mind admitting that it took me two attempts to pass my English 'O' level. Then working as an engineer in a job where I hardly wrote anything other than fault dockets for 10 years, which were very short form writing, didn't exactly help me! 

I did some French classes at school, but I never did get to grasp much of the language then. I didn't visit France until I was in my mid-twenties. I started doing a weekly evening class a couple of years before we moved here in 2010, but it wasn't enough. I would be scared of venturing out on my own at first. Not a problem now. 

Alison is a fluent French and German speaker; she ran her own translation company in UK for a number of years. She is a natural when it comes to languages, but the technical stuff she leaves to me, so we make a good couple I suppose! 

Alison has tried teaching me, it didn't go well! I have also been to classes here as well. Again not enough really. 

Then along came lock down and classes stopped. I did some more daily lessons with Alison. Then I thought I will try a different approach... 

I started learning with Duolingo, it's an app, and website with a very good, structured learning approach. Finally, I seem to be making progress. I do about 30-45 minutes each morning sometimes more. 

Whilst the app is very good, I still like to jot things down to help cement my learning, 

I also remembered some inserts I was given a few years ago. 

I don't know who produced them, but they seem to cover 'business French' as well as everyday phrases



They are double width pages printed on thick paper so they will withstand a lot of use. 


I've put them in my Filofax Holborn Slimline along with some ordinary note paper. I keep this organiser in my writing desk where I do my lessons each morning. Away from other distractions and it is also a quiet spot in the house. 


I've scanned in the inserts into a PDF, you can print this and trim the pages down to Personal size if you wish. It's quite a large file so please be patient when downloading it.

Free For All Friday - No. 657 by Steve

Last Sunday, I enjoyed our regular Skype 'Virtual Meet Up'. We caught up with each others news and the current situation in our respective cities/countries. It was interesting to hear how people have been adapting their planners to their current work load/situations. 

I think this last 12-18 months have been very trying for most people and have pushed us in many different directions when it comes to finding a planner/planner size. What works in this 'new era' be that working from home, home schooling, very different scheduling etc etc. 

You know what I mean, everything has been turned on its head, nothing is quite what we expect it to be and with no predictions on when 'normal' will return... hold all bets! 

I checked today, the first 'Round Table' back in April 2010 before I moved to France! It was very much an experiment, but it has continued most months since then!

Our next chat is a week later than normal on 11th July as the previous weekend is '4th July' or is it July 4th? 😀

Whilst schools are close to finishing their academic year, the new school year will soon appear over the horizon. 

One of the participants in a recent 'Virtual Meet-up' on Skype shared with me an old Filofax insert that is no longer in print. I've adapted the design a little to meet modern day requirements. 

We start with a Course Record for keeping a track of those high grade marks in all subject through the year!



The second side of the above insert might be this Timetable. Combine them if you wish. 


I have also created a combine Course Record/Timetable insert for Personal size on A4 Paper. 
When printing any of the above inserts remember to 'scale to fit' the appropriate size paper with the exception of the Personal on A4, just print at 100% and cut and punch to suit.
