Free for All Friday No. 672 by Nan

 Do you use a Filofax as a wallet? Ring-bound organizers can hold a lot more than just paper: plastic holders for credit cards, business cards, photos, receipts, and cash. They often have lots of pockets inside the covers to hold things as well. 

You can have a hybrid organizer-wallet, where you have your calendar and notes along with credit cards and other necessities. Or you can have an organizer that's just for carrying daily needs, as I'm doing now. It can get bulky, but I always have whatever I need. 

Of course, since it's Friday, all organizer-related discussion is welcome!

Planning for 2022?

After what has happened over the last two years, I've been cautious to say the least about trying to plan much more than a few weeks ahead of time. 

However, after writing about diary inserts for 2022, it sort of got me thinking about the coming year. I therefore downloaded my insert of choice from Philofaxy... naturally!  

I then added my own information to specific dates like key birthdays and public holidays for UK and France. Then I went to print them out. 

Stumbling block number one.. since MacOS was last updated 'Booklet Printing' seems to have go AWOL for our HP LaserJet printer. Looking on the HP support site this has been reported for a host of other printers as well when using both Windows 10 or MacOS Big Sur. 

I didn't think to try Windows 10, may be another time. I resorted to using an older iMac I still have which isn't up to date, but it still works. After a slight delay whilst that came to life, but it printed out the file to the printer without any issues... phew...saved!

I cut the pages in half and punched them, then for a fancy finish I also used my corner cutter to round the page corners. 

With nothing immediately to plan in 2022 I've put them in to my Filofax Chester A5 Compact, even though it only has 15mm rings, it takes a full 12 months of week on two pages easily with capacity for any additional pages I need.

Creating Diary Inserts

"Creating diary inserts is easy".... said no one! 

Well it is if you have done it a few hundred times like Ray and I have.

As we are no longer creating merged files for all of the whole range, you might have to create your own from the source files which are still available. 

Firstly check the current list to see if there is a merged version of your desired insert. If there is download and print in the usual way. 

If not then scroll down the page and you will find the older versions. 

Here is a simple flow chart on how to create a diary insert with the older versions.


That might be a bit small to read, so you can download a PDF of it here

On the same page, you will also find video tutorials for different versions of MS Office. Our files only with with Microsoft Office because we use a mail-merge process to create the finished files from the date information contained in an Excel spreadsheet.  

Diary inserts for 2022 are now available with inserts of for 2023 and 2024 also available here. You will find instructions on using the new style files there too, it's only slightly different to the above.

Free For All Friday No 671 by Laurie

I've never been a gardener, but a couple of weeks ago I decided I wanted to beautify my scruffy front yard. My son is into botany, so I harnessed that plant enthusiasm, and he and I were on a mission. We bought planters, a dozen different kinds of bulbs that will flower throughout the year, several different types of soil, mulch, a rose bush, and two butterfly bushes. We set to work with our shiny new hand trowels. 

Very quickly I realized I needed to be organized somehow. I needed to draw a map of where each type of bulb was planted so I would know where each type was planted, when they would bloom, and how to care for each. I also wanted to keep the info cards that came with each type of bulb so I could refer to them often for care instructions. The care instruction cards were approximately A5 in size. The rose and butterfly bushes had care cards that were smaller.

I realized I already owned the perfect thing to keep all of this information together and easily accessible. I use A5 size Filofax Clipbooks as storage binders to archive my pages. I have a couple that I hadn't used yet. They are the plastic "gummy" material that I think have been discontinued. The wipe-clean plastic is perfect for use in the garden. I don't have to worry about getting it dirty. I drew my planting map on a grid page that came with the binder. I hole-punched the A5 care cards and put them straight on the rings, in chronological order of when each bulb type will bloom. The smaller care cards I put into a clear plastic zip pouch that fits onto the rings, for easy access. 

I'm feeling very optimistic, and happy that I have combined my new gardening hobby with my long-term Filofax avocation.

2022 and beyond diary inserts - How to:

As you will have seen earlier this week I released the 2022 inserts and following years on the blog. This follows the big task of reorganising all of the files on philofaxy.com. Hopefully they are all where they should be going forward. I will also be able to see on the new server what files are downloaded and how many times!

The files are organised slightly differently to before. Ray and I think it is more logical than before. 

Going forward we are restricting ourselves to this following list of files.


All of the old source files are still listed and still available for you to download and do the merge yourself. You will be able to continue to create those files from now til dooms day! A recap on how to edit and create those will be coming up soon. 

The list of files that we continue to create might expand, but in a more orderly fashion compared to before.  They will follow our new method. 

The new list needs some explanation. Here is that explanation...


The Ref number is just an indicator for each series of inserts, first digit is the insert size, the second digit the time divisor (day per page, week per page etc) and the third digit shows the version of the particular design the name refers to. 

Format indicates the page size proportions, A4/A5 is for all ISO sizes so this includes A6, B5(Deskfax), B6 etc You might need to make some small font size adjustments for the smaller sizes. 

Name (Preview) we have kept the same names as in previous years as closely as possible. Click on the name and you should be taken to a preview of the file. The previews are for 2020 or later, these will not be updated each year, they will stay the same unless the design changes. 

Word PDF these are the links to the pre-merged files for the year at the head of the columns, download these to just print off the file of your choice. 

Word Excel  these are the links to the Word and Excel Source files for you to download to do your own adjustments to our initial files. Like before you need both files. The Excel files are now different in their make up. You will find a 'Year' worksheet this is where you unsurprisingly set the year for the file you wish to create. Save the Excel file once you have set the year. There aren't different source files for different years, if you open the Excel file and you find it set to a different year than the one you want to create, just change it in Year worksheet and save the file. 

Merge Sheet this indicates which of the Excel worksheets you should merge into your word file after you have done your edits. The Excel files are now set up to do several insert designs so there are sometimes more than just a single worksheet in each file. 

Merging the files is much the same as before. 

  1. Download the Word and Excel File. You need both files. 
  2. Edit the year in the Excel file for the year you wish to create. If you are doing academic year you need to create the start year and the following year and then join the two together for the same insert. 
  3. Open the Word file and note the merge sheet to use. 
  4. Make any small edits you want before merging the files to a new file. 
  5. Remove the section breaks using find and replace. This maintains the correct page margins. 
  6. Save your file if it all looks ok. Other wise go back to your Word file and make further changes before doing the merge again.

Free For All Friday - No. 670 by Anita

As I recently passed my first 6 months in my new job, I thought that it was about time to review how well (or not) my A5 Original is working for me. Initially I was keeping all my training notes and to dos in my Original, but as time has gone on and I've increased my hours, I've found that a hybrid system of my Filofax and an Excel spreadsheet seems to be the best for me. I'm really enjoying using A5 again (after selling my last A5 some years ago)  and am finding it the perfect size for taking notes, whilst still having enough room on my desk to use my keyboard. As I solely work from home, this is much more important as my desk is much smaller than the one I used to have in an office. It's still a work in progress, but I promise that I will write a work set up post soon and it's been an interesting experiment as I admit that I've never used a Filofax for work before! 

Do you find that a hybrid set up of using paper and your phone/computer works best for you for work as well?

News Update

Hi Everyone. 

Sorry just a news update today. Since returning from UK at the beginning of the month I’ve been beavering away moving Philofaxy.com and many other sites that share that server to a new server supplied by a different company after the original one decided to shut down their services giving me and other customers only 30 days notice. Some of that notice period I was in UK, so I was a bit stuck about doing anything straight away. 

As far as the blog is concerned it shouldn’t have much impact. The server does have all the adspot photos, files and diary inserts on it. All the podcast episodes are also hosted on the server too. 

You might get some ‘Non-secure site’ warning messages, depending on what browser you are using. I aim to sort these issues out in the coming weeks once I have all the other sites moved off the old server to the new one. (It’s not a 5 minute job!) 

I will be glad to get this job finished and get back in to the normal groove.

Paul Smith and Filofax

You might not have heard about Paul Smith. To give him his correct title Sir Paul Smith is a British fashion designer who founded his company in 1970. 

His clothes are known for being vibrant and very colourful. He has shops in many large cities around the world. 

In 1979/1980, a friend of his by the name Michael Hodgson, who at the time was the art director for Harpers and Queen, showed him a leather notebook (Filofax), something Paul had never seen before. He liked it and was quite taken by the design with the inserts for a dairy, year planner, addresses etc. Paul asked Michael where he had bought it from. 

Michael recalled that he had bought it from Chisholm's a stationery store on Kingsway near the junction of Great Queen Street  in the Covent Garden district of London [Check out one of their old catalogues here

Paul's wife Pauline bought him a Filofax, because she had noticed how he had admired the design. He later went along to Chisholms himself to find out more about the range of inserts available. At the time there were a lot of inserts available for the clergy and the military as well as a wide variety of other subjects. 



Paul wondered if he could get some organisers and inserts to sell in his own shop in Floral Street in Covent Garden, London. He was given a phone number for Norman and Hill. He was eventually able to contact them and asked if he could go to see them with view to selling their products in his shop. 

At the time Norman and Hill were based in a small dimly office under a railway bridge in Bethnal Green in east London. He recalls that there was a lot of pigeon hole storage shelves on the wall with dozens and dozens of different inserts in them. 

He got them to put together a selection of inserts, but the organisers at the time were only available in black and brown. However, they still sold very well to Paul Smith customers in a variety of professions. 

Paul Smith made a request to Norman and Hill to make the organisers available in a number of other colours (green, red and blue leather) they agreed to do this and they sold very quickly. 

Over a six to seven year period he sold approximately 17,000 organisers. Customers would come from the USA and buy 40 or 50 at a time and then sell them in their own shops. The Filofax was starting to get well known. 

Paul Smith even had some exclusive models made for his own brand as well at about this time. These are very colourful models too. Janet has a Paul Smith 'Swirl' agenda
